The offer extended herein is an offer only; no booking or any other arrangement has been made until a contract is finalized. The rates are guaranteed for the offered dates only. If the client changes the event venue or event dates, the hotel reserves the right to revise the offered rates and the venue will be subject to availability.
. Written confirmation/cancellation by letter from the patron (client) is required for any amendments
. 50%of the estimated final balance to be settled upon signature of the final agreement 25% of the estimated final balance to be settled one month prior to the event final remaining balance to be settled one week prior to the event. In case of failure to pay any of the advance payments as per the schedule specified in the present agreement, the Hotel reserves the absolute right to unilaterally terminate this Agreement given prior written notice to the Client.
In case of reservations seven days before the event, 50% of the final balance must be paid. The full amount must be paid three working days before the event
. : In case of cancellation or amendment of the above booking, the cancellation charges policy is as follows
4Weeks prior to the event 50% of total bill
3Weeks prior to the event 75% of total bill
2Weeks prior to the event 100% of total bill
It is understood that in case the event is reserved later than 4 weeks of event date the same rules will apply according to its proximity of event date.
. The patron must assign him/herself or one point of contact to liaise with the Banquets team for any requirement during the event. The hotel will not undertake any instructions from any other person other than the assigned contact.
. Once the attendees for the wedding event reaches its booked number of guests, the hotel reserves the right to disallow any additional numbers from entering the wedding venue, unless the patron instructs otherwise in writing to the banquet team. Extra charges will be applied in such case.
. The contractor agrees to place seating only adequate for the number of attendees booked by the client. Additional seating will not be allowed.
. The Patron must inform the Hotel of all third-party contractors/service providers, such as audiovisual and decoration suppliers, etc., five business days prior to the event date in writing.
a. The Client is responsible to communicate all terms and conditions stipulated in this agreement, and will be directly held responsible to the hotel in case of breach of any terms.
b. No major carpentry work is to be conducted on site at any venue in the hotel. This work must be completed off site prior to the event. Nailing, sticking, gunning, stapling, pinning, drilling on the floor, wall, ceiling or any other hotel property is strictly prohibited.
c. Hot Work as Welding, Cutting & Carpentry works is strictly prohibited inside the Venue
d. Smoke Machine usage is prohibited unless security is informed by setup company & approval granted by hotel
e. The Hotel is not responsible for any damage or loss to the contractors or their employees
f. The contractors must obtain the Hotel’s written approval for any technical work, such as lighting, audio, decoration, etc., or moving and/or changing the Hotel’s furniture or decoration, either inside or outside the venues
g. The contractors must keep all emergency exits of the venues or the Hotel completely empty and accessible at all times
h. The contractors must leave a distance of 1.5m between any decoration (Ex. Artificial walls) and the venues’ walls
i. All items used by the Client for decoration must be made of fire-proof materials, as per the regulations of the local Civil Defense. The Client must provide all related credentials to fulfil this regulation
j. The client and contractors must maintain no damage to the floors, elevators, carpets, doors, venue walls and ceilings, and must cover the floors using plastic sheeting and/or carpet to protect these assets before entering any equipment or decoration to the venues.
k. The client and contractors must coordinate the usage of the electrical energy with the Hotel’s maintenance department. All cables must be installed tightly and securely
l. The client and contractors must disguise all cables in the venues, especially along the guests’ corridors and passage
m. The contractors must keep the venues and the Hotel assets clean at all times. All set-up and dismantling trash to be disposed in the loading bay area
n. No poster or banners to be put on the walls without a written approval from the Hotel Management
o. The client and contractors must dismantle the decoration, all technical equipment and flowers, and the venues should be returned to the Hotel totally empty and clean no later than 23:30 hrs. on breakdown day. Failing to which, an additional room rental fee of SAR 40.000 per day, will be levied.
p. The client and contractors must return all equipment or tools that have been borrowed from the Hotel in the same condition when first received. Any damages to the Hotel tools or equipment, caused by any outside contractor hired by the Patron shall be the responsibility of the Patron to fix or change
q. All empty boxes or unused equipment to be properly stored in the designated stores at the Hotel until the end of the event. It is strictly prohibited to store any empty boxes or unused equipment at random around the Hotel premises
R. The Patron and contractors must only use the restrooms designated by the Hotel and they are not allowed to use any other facilities
s. The contractors may walk through the venues where the event location is and only use the facilities designated for them. It is strictly prohibited to be at any other places within the Hotel premises, use the staff restaurant or changing rooms, smoke in areas that are not designated for that purpose and to bring any food and beverage from outside the Hotel.
T. All displays, exhibits, decorations, equipment and musicians must enter the Hotel through the receiving entrance and/or security office. Delivery times must be coordinated with the Hotel 3 days prior to the event via your point of contact at the hotel. All persons will be subject to inspection upon their entry or exit from the Hotel.
u. The contractors should wear and behave appropriately at all times, according to the regulations and traditions of the Kingdom of Saudi Arabia
v. The contractors must organize the entry of all trucks and vehicles to the loading bay to avoid traffic
w. Any vehicle with oil leakage will not be allowed to enter the Hotel premises
x. The Hotel reserves the right to stop any company or person who has violated any of the conditions stipulated in this agreement
y. The Hotel reserves the right to decline any outsourced food vendors
z. The contractor must fill up a liability form before starting the setup and pay a deposit of SAR. 10.000 refundable after the event to secure the venue against any damages caused by the labors during the setup, event or dismantling
